Speaker Coordinator
The National Association of Mutual Insurance Companies (NAMIC) has a new opportunity for a Speaker Coordinator in our Event, Education, and Association Services department. This position will perform internal office management/member service functions for Event, Education and Association Services, with particular focus on research and coordination of speakers and content experts for a variety of meetings, seminars, and related events.
Essential functions of the position include:
- Supports meeting planners in coordination of meeting planning details specifically researching speakers, conducting speaker coordination, presentation material coordination, committee relations and committee meeting support for event activities as assigned.
- Leads programming efforts for assigned events including the development of topics lists in conjunction with planning committees, speaker research, speaker contract review and negotiation, and communication between speakers and assigned speaker coordinators.
- Serves as the primary staff liaison to assigned event planning committees.
- Maintains business records and speaker history for events and call for speakers’ process.
- Negotiate terms and conditions for speaking opportunities.
- Maintains professional relationships with speaker bureaus.
- Assists in the budgeting process for assigned events including maintaining speaker expenses.
- Assists with marketing efforts for respective conference events; prepare list requests for mailings, e-mails, coordinate event brochure mailings, prepare event logistical and registration information for the NAMIC website, and provide updates as needed.
- Serves as department resource for submitting NAMIC events to industry publications quarterly/yearly.
- Supports event team coordination of virtual event planning details, including but not limited to speaker coordination, presentation material coordination, scheduling within internal calendars, and in the virtual event platform/software for activities as assigned.
- Meeting/Event planning experience with selecting and hiring speakers is preferred.
- College degree or equivalent experience in related business.
- Insurance industry experience is desirable.
- Must be available for overnight travel including by car and by air 5-10 times per year.
- Ability to successfully pass a criminal background check and possess a valid driver’s license and an acceptable MVR.
Qualifications include:
- Meeting/Event planning experience with selecting and hiring speakers is preferred.
- College degree or equivalent experience in related business.
- Insurance industry experience is desirable.
- Must be available for overnight travel including by car and by air 5-10 times per year.
